About this general contractor quote template

Use it for remodels, additions and other jobs where you run the work and the subs. It has a dates and payment block for the estimated start and finish, the deposit, a payment schedule tied to the work, permits and the warranty, so the customer sees the whole deal on one page.

What a written quote should include

That list comes from the FTC’s advice on hiring a contractor, plus California and New York home improvement law. Some states also require a lien notice or a cancellation notice.

Deposit rules by state

Some states, such as California, cap how much you can take as a deposit. Pick your state before you fill in the deposit box.

General information, not legal advice. We have only checked California, New York and Florida. Rules change, so confirm with your state licensing board or a lawyer.

When the job is done, bill it on the contractor invoice template. Check your margin first with the markup vs margin calculator.

Questions

How much deposit can a general contractor ask for?

It depends on the state. California caps a home improvement down payment at $1,000 or 10% of the contract price, whichever is less. Pick your state in the deposit rules box above, and check with your licensing board.

Do I need to give the customer a cancellation notice?

If you sell $25 or more at the customer’s home, the FTC Cooling-Off Rule gives them 3 business days to cancel and you must give them the cancellation forms. Some states add their own rules.

What are allowances?

Budgets for items the customer will pick later, such as fixtures or flooring. List each one with its amount so the customer knows what the price includes.

How are the totals worked out?

Each line is quantity times rate, rounded to the cent. The subtotal is the sum of the lines. A percent discount comes off the subtotal, tax is added at the rate you type, and any deposit or amount paid comes off to give the balance due. Leave the quantity blank for a flat price.

Does it work out sales tax for me?

No. Sales tax rules and rates differ by state and by item, so you type your own rate or leave it blank. Nothing is looked up. This is not tax or accounting advice.
