About this HVAC invoice template
An HVAC invoice works best when the customer can see which unit you worked on and what went into it. This one has boxes for the equipment, make and model, serial number and refrigerant type, and lines for the service call, labor, parts, refrigerant added in pounds, leak check or repair, and a permit or inspection fee.
For refrigerant, type the refrigerant in the Refrigerant type box, put the pounds added as the quantity and your price per pound as the rate. Keep your service report or HVAC maintenance checklist alongside the invoice so the readings match the bill.
Lines carry no prices. Delete any you do not use and add your own.
Questions
How do I bill refrigerant?
Add the refrigerant type in the equipment boxes. On the refrigerant line, enter the pounds added as the quantity and your price per pound as the rate.
What should an HVAC invoice show?
Usually the unit serviced, what was done, parts and refrigerant used, labor and the total. Add anything your customer or your state expects.
Does it work out sales tax for me?
No. Sales tax rules and rates differ by state and by item, so you type your own rate or leave it blank. Nothing is looked up. This is not tax or accounting advice.
How do I save it as a PDF?
Press Save as PDF, then choose “Save as PDF” as the printer in the print window. Pick US Letter or A4 in Step 4 first. It prints on one page.
