How to use

About this quote template

A quote is usually a fixed price for work you have described. This template puts the scope of work first, then the line items and totals, then your terms and a line for the customer to sign.

An estimate is an approximate price. If that is what you need, use the estimate template. What a quote or estimate means for you depends on your state and your agreement with the customer.

Set a valid-until date because material and labor prices change. Use the terms box for what is not included and how payment works, in your own words.

What is the difference between a quote and an estimate?

A quote is usually a fixed price for defined work. An estimate is an approximate price that can change. The terms depend on your state and the agreement with your customer.

How long should a quote be valid?

Many businesses use two to four weeks because prices change. Put the date in the Valid until box.

How are the totals worked out?

Each line is quantity times rate, rounded to the cent. The subtotal is the sum of the lines. A percent discount comes off the subtotal, tax is added at the rate you type, and any deposit or amount paid comes off to give the balance due. Leave the quantity blank for a flat price.

Does it work out sales tax for me?

No. Sales tax rules and rates differ by state and by item, so you type your own rate or leave it blank. Nothing is looked up. This is not tax or accounting advice.
